For corporate accounts
Car service your finance team can approve.
For companies that book rides for executives, visiting clients and events. Set the expense codes, the approvers and the caps once. Every ride after that carries them.
How a ride gets booked
- Your people book through the account's booking link, or ask the concierge desk to book for them.
- The fare is shown before anyone confirms the ride.
- Every ride has a named captain, and the desk confirms each one before pickup.
- Accounts that run their own booking tool can connect through our partner API.
Expense codes and approvals
- Your finance team sets the rule. A ride can require an expense code, a cost centre, or both. A ride without one is refused before it is created.
- Accepted codes can be a list, free text, or a pattern, so the code your AP team already uses works as it is.
- Choose which rides need sign-off: none, rides over an amount, or every ride.
- Approvers get an email with a link to approve or decline. The link is valid for 48 hours. Opening the link changes nothing until the approver presses a button.
- A ride waiting for approval is held, and desk staff are told not to confirm it until an approver says yes.
- A declined ride is cancelled with no fee, and the booker is told.
Budgets
- Set a per-ride cap. A fare over it needs approval.
- Set a monthly cap for the account. At 80% of the cap the desk is warned once that month. A ride that would take the month past 100% needs approval.
- If your own budget is lower than the account cap, the lower figure applies.
Statements for accounts payable
- Monthly statements list every ride with its expense code and cost centre.
- A CSV export carries the same columns, ready for your ledger.
- Each ride has an estimated CO₂e figure (U.S. Environmental Protection Agency [EPA], 2025) and the method behind it, so the sustainability report has a source.
Who drives, and what happens on the road
- Every captain has a licence, insurance and vehicle registration on file with an expiry date. Dispatch refuses a captain whose document has lapsed.
- Each ride has a private tracking link the traveller can share.
- Your travel or security team can have a read-only board of the account's rides for today and the days ahead. The link can be revoked at any time.
- A one-tap alert from the traveller or the captain reaches the concierge desk, and your named security contact by email.
Insurance and vendor forms
Our certificate of insurance is sent on request, with the permits for the cities you use. The controls behind each ride are on the duty of care page, written so your security team can check them.
Email concierge@quohouse.com with the subject line “Certificate of insurance request”.
Opening an account
Send us the company name, the people who will book, the approvers, and the expense codes or cost centres you use. We set up the account with those rules and caps before the first ride.
